You are responsible for
- Receiving orders and forward the relevant documentation to the Sales/ Service Team
- Registering orders in ERP System, placing orders to supplier, monitoring back log orders, follow up and share the necessary information to Management and Sales team, controlling and coordinate placed orders until invoicing and delivery to the customer
- Issuing invoices as well as any other necessary sales documentation
- Monitoring payments in advance with customers, coordinate transportation and logistics companies for the delivery of the orders, handling shipment documents, follow up shipment for recipient details
- Assist in the preparation of regularly scheduled reports
- Αssist Sales team
- Answer and direct phone calls, write and distribute email, correspondence memos, letters and forms
- Act as the contact liaison between internal and external clients, handling customers’ requests, solving problems
- Update and maintain office policies and procedures, support to ensure efficient operation of the office
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc
- Book travel arrangements
- Provide general support to visitors
- Order office supplies, coordinate suppliers and research new deals
Your Education & Qualifications are
- College degree in Business Administration, Secretarial studies or similar
- Relevant working experience, especially as Back Office/Administrative assistant
- Excellent knowledge of the English language
- Experienced in CRM backgrounds
- Experienced in using MS Office, MS Excel, MS PowerPoint, Adobe Acrobat
